Terms and Conditions

General

These Terms and Conditions constitute a legally binding agreement between the property owner, Wern Holiday Cottages, and the holidaymaker (hereafter referred to as "you" or "the guest"). Wern Holiday Cottages is located between Porthmadog and Cricceith, Gwynedd, LL49 9SH. In this document, the property owner is also referred to as "we" or "us."

By making a booking, you accept these terms and conditions and agree to comply with them.

Bookings

  • Age Requirement: Bookings can only be made by individuals who are at least 21 years old. We reserve the right to refuse any booking without providing a reason.

  • Booking Process: Upon submitting a booking request through our online reservation system, you will receive an automated booking confirmation email. This email serves as a preliminary acknowledgment and does not constitute a binding contract. Please review the email carefully and inform us of any discrepancies within seven days or before your stay if the booking is made within seven days of arrival.

  • Booking Confirmation: The booking will be confirmed only once full payment is received and cleared. Until then, the booking remains provisional and may be cancelled at any time without notice.

Payment

  • Deposit: A non-refundable deposit of 30% of the total booking amount is required to secure your reservation.

  • Balance Payment: The remaining balance must be paid in full 45 days before your arrival date. If the balance is not received by this deadline, the booking may be cancelled, and the deposit forfeited.

  • Payment Methods: We accept payments by cheque, bank transfer (BACS), and the following credit & debit cards: Visa and Mastercard. Payments can be made online or by phone.

Arrival and Departure

  • Check-In: Guests must check in between 16:00 and 23:00. Each cottage is equipped with a key safe for convenient access. 

  • Check-Out: Guests must check out by 10:00 on the day of departure. Failure to check out on time may result in additional charges.

Cancellation Policy

  • Cancellations More Than 90 Days Before Arrival: If you cancel your booking 90 days or more before your arrival date, a charge equal to 50% of the total booking amount will be applied.

  • Cancellations Less Than 90 Days Before Arrival: If you cancel your booking less than 90 days before your arrival date, you will be charged the full booking amount.

  • No Show or Booking Reduction: In the event of a no-show or a reduction in the length of your stay after the arrival date, the full cost of the booking will be charged.

  • Refunds: We strongly recommend purchasing travel insurance to cover potential cancellations or unforeseen circumstances. We cannot offer refunds or compensation for cancellations due to "force majeure" events, including but not limited to natural disasters, pandemics, or other situations beyond our control.

Amendments and Date Changes

  • Date Changes: Date changes are subject to availability and are at the discretion of our team. If we cannot accommodate your request, the standard cancellation policy will apply.

Property Owner Cancellation

  • In the unlikely event that Wern Holiday Cottages becomes unavailable for your booked dates, we will make every effort to find suitable alternative accommodation. If this is not possible, you will receive a full refund. Our liability is limited to the refund of the booking amount, and we shall not be responsible for any additional compensation or consequential losses.

Occupancy

  • Maximum Occupancy: Each cottage has a maximum occupancy limit, which must not be exceeded. Only the individuals listed on the booking form are permitted to stay. Breach of this condition will result in immediate termination of the booking without refund.

  • Subletting: Sub-letting of the property is prohibited.

Pets

  • Well-behaved dogs can be accommodated by prior arrangement. Due to roaming livestock, they must be kept on a lead at all times. 

  • Please do not leave your pets in the cottages unattended, nor allow them on furnishings. Owners are liable for any damage your dog causes to the cottages or the surrounding farmland and livestock. Please contact us if this occurs.

  • Wern Holiday Cottages cannot be held responsible for any accident or injury to a pet during their stay.

Liability

  • Personal Possessions: Wern Holiday Cottages accepts no responsibility for the loss, theft, or damage to personal possessions or vehicles belonging to guests. Vehicles and personal belongings are left at the guest's risk.

  • Personal Injury: We are not liable for any personal injury or death unless caused by our negligence.

Damages, Breakages, and Cleaning

  • Breakages & Damages: We do not charge a breakage deposit, but if loss or damage to the property is found, we have right to charge the card on file. An invoice will be provided for these damages.

  • Carregfelen Damage Deposit: A refundable damage deposit of £500 is required for Carregfelen and will be held upon payment of the balance. After departure and inspection of the property, the deposit will be refunded within seven working days if no loss or damage is found.

  • Cleaning: Guests are responsible for leaving the property in a clean and tidy condition. We reserve the right to charge additional cleaning fees if the property is not left in an acceptable state.

Complaints

  • Complaint Procedure: We strive to ensure your stay is enjoyable. If you encounter any issues, please inform us immediately so we can address the problem promptly. We will make every effort to resolve any issues during your stay.

Onsite Regulations

  • Behaviour: All guests are expected to behave in a considerate and respectful manner. Noise levels should be kept to a minimum after 21:00, and all noise must cease by 23:00.

  • Fire Safety: Fire pits and BBQs must be used only in designated areas and kept at least 1 metre away from accommodation. Only the wood provided by us may be used. Fireworks and sky lanterns are prohibited due to fire hazards and the danger they pose to wildlife.

  • Maintenance: Essential maintenance may be carried out during your stay without compensation.

  • Countryside Code: Guests are encouraged to respect the countryside by following the Countryside Code: leave gates as found, stay on public footpaths, avoid walking across crops, and dispose of waste responsibly.

No Smoking Policy

  • Smoking: Smoking is strictly prohibited inside all cottages. A fee of £400 will be charged for deep cleaning and redecoration if this policy is violated. Guests smoking outside are responsible for properly disposing of cigarette butts and should not litter the area.

Personal Details and Data Protection

  • Data Use: Wern Holiday Cottages will collect and use your personal information for booking administration and may send you promotional or marketing materials. Your data will be protected in accordance with the Data Protection Act 1998.

Governing Law

  • Jurisdiction: This contract is governed by English Law. Any disputes will be handled in an English Court of Law.
